Setting Up PIN, Badge, and User Access Control on Xerox Printers
Access control prevents sensitive documents from sitting in an output tray unattended and gives IT visibility into who's printing what on shared devices.
Symptoms to look for
Sensitive print jobs sit exposed in the output tray
No way to track which user printed a given job
Need for badge-based release on a shared departmental printer
What causes it
Most Xerox devices ship with access control disabled by default, requiring an administrator to explicitly configure authentication methods after installation.
How to fix it
Access the device's web configuration page with administrator credentials.
Enable authentication (PIN code, network login, or badge reader if installed).
Configure 'secure print' so jobs hold in a queue until released at the device.
Set up user or group permissions if role-based restrictions are needed.
Test the full flow: send a job, confirm it holds, then release it with the configured method.
Technician's tip
Enable secure print hold even without badge hardware — a simple PIN-release queue alone stops most exposed-document issues on shared printers.
