Print server integration centralizes driver deployment and print queue management, which matters most once an office grows past a handful of direct-connected printers.
Symptoms to look for
Print jobs need to be configured individually on every computer
No centralized print queue visibility for IT
Driver updates require touching every workstation
What causes it
Devices set up as direct network printers on each computer individually, rather than through a shared server queue, is the typical starting state before integration.
How to fix it
Install the Xerox print driver package on the Windows print server.
Add each Xerox device as a TCP/IP printer port using its static IP address.
Share the printer queue from the server to workstations via Group Policy or manual mapping.
Test print from at least one workstation per department after setup.
Configure driver update policies centrally so individual workstations no longer need manual updates.
Technician's tip
Assign static IP addresses (or DHCP reservations) to every printer before server integration — an IP that changes later breaks the server's saved port silently.
